How To Use Iphone Reminders Effectively

Remind Me Again?

Do you need reminders to check your reminders?

I understand what it feels like to feel anxious or worried that you're not keeping track of what you need to remember each day. It's a horrible feeling.

If you're like, me the list of what I need reminders for keeps getting longer and longer.
I don't know if that means I have more to do these days, or I am a little less organized.
I don't know about you, but I'm not ready to use the word "forgetful" yet.

Believe me, I get very frustrated when I  have to search for paper notes in my purse or post-its on my refrigerator.
I admit, adding things to my calendar works pretty well if I remember to use my calendar.

Sound familiar?

Keeping up with new technology is a big deal for me and I've been hearing a lot lately about the "new and improved" Reminders app from Apple, so I decided to do some research and check it out.

Believe me, after setting up the app and putting it to work, I can only say this – Awesome!

Seriously, if you only have time to learn ONE more organizing tool right now, I really recommend checking Reminders out. Read on.

Worrying About Forgetting is Stressful

Let's face it, we all need reminders and by trusting you have a system in place, you can relax a bit and use that brain space for something else.

Even if you don't use technology much for organizing your life but would like to, Apple's Reminders would be a great place to start.

So here's the thing.
Evidently, Apple has been upgrading and really improving one of their apps every year.
Last year it was their Notes app, which I love and use to organize most things in my life, including documents and personal information.

Well, the good news is this year the improvements went to Apple's Reminders app.
In fact, it looks totally different than it did before and has been completely rebuilt.

If you're like me and love feeling organized and on top of things in your life, I think this might be the solution you've been looking for.

You'll be glad to hear I did my homework and here is what I have found so far.

First, How to Set-up Your Apple Devices & iCloud

Let me start by saying, before you can really appreciate the Reminders app, you are going to have to do a little prep work on your devices ( iPhone, iPad, MacBook).

That being said, if you have more than one Apple device as I do, you need to understand how the Reminders App is affected by current upgrades, so don't skip this.

  • Sign in with the same Apple ID on all your devices.
  • Go to Seettings> iCloud> enable Reminders. Now you will receive the same reminders on all of your devices.

For example, I like to work on my cute MacBook because the screen is bigger than my phone and I can keyboard faster.
So, I make my grocery lists in Reminders on my Mac, but when I get to the store, the list is on my iPhone, and away I go.

In addition, the other important thing for you to do is, make sure you have upgraded everything to the newest software.
For your iPhone and iPad, that would be iOS 13.

Also, if you are also on a MacBook like I am, you should have updated to Catalina.

Maybe you aren't ready to upgrade, that's okay. You can still see your reminders on each device, they just won't talk to each other.

In the end, it's all worth it because when you are done, like magic, you will see your reminders whenever you need them on any device.

Apple's Reminder App 101

Okay, now let's get down to the nitty-gritty.

Smart Lists in Reminders

First, open the Reminders App.
At the top of the screen, you see 4 Smart Lists that are automatically installed for you.
1. Today
2. Scheduled
3. All
4.Flagged

Actually, these Smart Lists will update as you work and give you a quick overview of what you have going on at any time. – Very cool.

Your Lists

Actually it would be best if you can follow along with your iPhone along here.
As usual, actually doing it will make more sense than reading about it.

In the end, when you are all set up, all of your reminders will be organized by Lists.
You can see the lists I have created so far in the image above.
Then, across from the name of the list you can see how many reminders are in that list.

Make Your First List in Reminders

  1. Tap Add List in the Reminders app's main screen. (bottom right)
  2. Type a name for your list.
  3. Next, you will be prompted to choose a color and a special icon for each list you make so it will be easier to recognize at a glance.
    If you are like feeling super organized you are going to love this feature!
    (icons are only available for lists created in iCloud accounts.)

    Trust me, you can be all set up with a few lists in no time at all.

    Honestly, my advice is to not overthink it because honestly, lists are SO EASY to edit and change.

Editing Your Lists

So, let's practice editing one of the lists you just made.

  1. First, tap the list that you want to edit, then tap the more button.
  2. Next, tap Name & Appearance.
  3. Now select the list's name, color, or icon.
  4. Finally, Tap Done.

Tip: Lists can be reordered by dragging and dropping- Try it.

Setting Reminders

Like I said before, lists organize your reminders, or you could say reminders live inside of lists.

Create a New Reminder

  1. Open a list
  2. Next, click New Reminder
  3. Then, add your reminder.

This is why you need this.
Here is where you really see the genius of this app.
If you aren't already there, tap on a reminder & click the information "more icon" to the right of the reminder. (3 little dots)
This will take you to a Details screen.
Here you can:

  • Make notes
  • Pick a day and time to be reminded
  • Remind you at a certain location – This is crazy. You can schedule to be reminded when you arrive home, etc.
  • Flag the reminder – A flagged reminder is super important so it will also show up in your Smart Lists.
  • Set a priority level
  • Add subtasks
  • And more

There is another way to get to the Detail Page.

Tap on a reminder
A menu pops up at the top of your keyboard.
Click on the little clock (choose a date)
OR click the Custom icon
So there you have it- you should see Detail screen we just looked at.

BTW, Just like lists, reminders can be re-ordered anytime by dragging and dropping too.

Okay, there you have it, kind of a crash course on how to use Reminders.

I can almost hear you wanting to scream, THAT'S TOO MUCH!

I completely understand and agree.

There is no doubt, it is really hard to learn a new piece of technology by reading, so I hope you were working with the app as we went along.

It may get it might be a bit overwhelming at first, but you don't have to do it all now.
Don't do this all in one sitting. This should be fun!
Just make a few reminders and see how it works, then can more technical.

Special Reminders Features

I highly recommend not trying to learn the following features until you master the Reminders 101 tutorial above.

Believe it or not, there will be times when you want to work on a reminder with someone else.
So here is how it works.

  1. Tap the list that you want to share, then tap the three dots (more icon).
  2. Tap Add People.
  3. Choose how you'd like to invite people to your Reminders list, I typically use Message or Mail.
  4. Add the people you want to share the list with, then send the invitation.
  5. When the person accepts the invitation they can work on the reminders and add to the list along with you.

Grouping Lists

You may like to know lists can also be organized into groups—for example, you can create a group named Work that contains all of your work-related lists:

  1. Tap and hold a list.
  2. Drag the list onto another list.
  3. You will be prompted to give the new group a name.
  4. Tap Create.

Move a Reminder to Another List

  1. Tap a Reminders List, then tap the reminder that you want to move.
  2. Next, tap the info icon to take you to the Detail Screen.
  3. Tap List, then choose the list that you want to move your reminder to.
  4. Finally, tap Done

Subtasks

Honestly, I think adding subtasks is a game-changer.

Creating subtasks is an "organization" dream.
Create a List called Packing List
Now, add a Reminder of where you are going.
Then, add another reminder of what to pack for that trip.

Next Swipe Right on that reminder as I did on Sunscreen and choose "indent"
The reminder becomes a subtask of the reminder above it.
Now add as many subtasks as you want.
Hide the subtasks by clicking the little arrow on the first reminder.

Oh ya, you can "outdent" too.

Location Reminders

In order to use the location feature, be sure you have Location Services turned on in settings under Privacy.

Truthfully, even if you don't think you'll use this, you have to try it!

First, tap the location icon to assign a notification based on where you are.
Next, select the options provided or tap Custom and use your current location or another address.
Finally, select arriving or leaving to receive the reminder! How cool is that?

So I am thinking I'd set a reminder not to forget to turn the coffee pot of when leaving my address in the morning! – The possibilities are endless, right?

Tell Siri Where You Live!

Now let me tell you, this was new to me!

Did you know there is a  My Card in your Contacts?
If not, go to your Contacts app and at the top, you will see your name.
In tiny letters, you will see "My Card"-
Lastly, open it and put in your own address phone, work address, whatever.

Now you can tell Siri things like:

  • Siri, remind me to take the chicken out of the freezer
  • When I get to work remind me to call Sara
  • When I get home to remind me to pay bills.

Seriously, how did I not know this?

There is more to Apple's Reminder App, of course, so when you are ready, Apple has great support articles.

  • Reminders for Mac.
  • Reminders for iOS.

So as I see it, there is no need to worry about forgetting what you need to do or how to organize your life.
Honestly, hats off to Apple for putting together this amazing organizing tool!
There is no doubt, along with Apple Notes, you can be super digitally organized.
